Define the reception job before choosing a model
Start with the number of reception staff, expected visitor flow and the tasks completed at the counter. A desk used for quick visitor check-in has different storage, privacy and equipment needs from a customer-service counter that supports longer conversations or document handling.
Record whether service is mainly standing or seated and identify any accessibility requirements that apply to the destination project. Local code and accessibility compliance must be checked by the project team; a product image alone cannot confirm compliance.
- Number of staff positions
- Visitor arrival and queue direction
- Standing or seated service tasks
- Required privacy at the work surface
- Destination accessibility requirements
Plan the complete footprint, storage and services
Measure the clear lobby area and mark entrances, circulation routes, doors, columns and waiting furniture. Confirm the complete desk footprint, including any return, storage or working-side projection; the visitor-facing elevation does not show every space requirement.
List computers, monitors, printers, payment or access-control equipment, power and data points. The RFQ should also state which documents or personal items need concealed storage so the working side can be reviewed together with the public-facing design.
- Overall available length and depth
- Return orientation and working-side clearance
- Power, data and cable route
- Equipment and storage schedule
- Waiting-area and circulation relationship
Write a model-level reception desk RFQ
Keep the complete model number, source image, required quantity and selected finish on the same RFQ line. Add confirmed dimensions when the source provides them; when dimensions are missing, ask the factory to confirm available size options instead of estimating from the image.
For an export or fit-out project, include the destination, delivery target, site-access restrictions and required packing identification. Any change to size, finish, component layout or branding detail should be recorded in the current quotation, drawing or approved sample before production.
- Complete reception desk model
- Confirmed size and orientation
- Finish and visible-panel requirements
- Included storage and equipment needs
- Quantity, destination, packing and timing

Prepare an RFQ ↗Frequently asked questions
Can reception desk dimensions be confirmed from a product image?
No. Use dimensions from the verified product source or a current factory quotation or drawing. If the source has no dimensions, keep them open for confirmation rather than estimating from the image.
What should an office reception desk RFQ include?
Include the complete model or reference image, available lobby space, staff positions, required orientation, equipment and storage needs, quantity, destination and delivery target.
Can the finish or layout of a reception desk be changed?
Possible finish, size and component changes depend on the selected model and order conditions. Record every confirmed change in the quotation, drawing or sample approval before production.
