Start with exact models, not a visual resemblance
A similar colour or shape in two product images does not prove that the products share the same panel finish, edge detail, hardware or included components. Record the complete model number for every desk, table and storage item that must work together.
Treat model suffixes as part of the product identity. A base desk, L-shaped version, complete office set, cabinet and coffee table can belong to a related visual family while remaining different products with different quotation lines and packing requirements.

Control the finish with a written reference
Screens, lighting and image processing can change how a finish appears. Use a factory finish code, approved physical sample, signed sample photo or another written reference that both buyer and factory can identify. Keep that reference with the model and quotation revision.
When a project combines several product families, ask the factory to confirm which pieces can use the approved finish and which have separate material or hardware limits. Do not replace this confirmation with a colour name such as walnut, oak, black or white alone.

Write a room-set matching schedule for the RFQ
Group the required items by executive room, manager room, reception, meeting room or open office zone. On each line, state the model, size, finish reference, quantity and related products. This gives the supplier a controlled schedule for checking compatibility and preparing a model-level quotation.
Include the destination, required timing, packing identification and any repeat-order requirement. Before production, connect the final model and finish schedule to the approved sample or written confirmation so later revisions can be traced.
